Zoom integration, pending appointments and approval
Hi,
I've found Bookly the best option so far to be implemented in a new website I'm settin gup for a small GP clinic with 4 GPs. However, before buying all the Bookly Pro system and the relevant add-ons, I have some clarification to ask.
In my scenario, the standard consultation/appointment with the doctor should be in-person. The patient should be able to ask for an appointment to his/her own doctor according to the availability/working hours already set up in the backend. The appointment should be set automatically as pending, and manually approved by the doctor/assistant before getting confirmed. This is something that can be done with Bookly.
For some special selected cases, a Zoom/Remote appointment can be allowed by the doctor, without having the patient in-person in the clinic. This is a decision of the doctor alone, under his/her own solely responsibility, and the patient should not be able to decide himself/herself regarding the kind of appointment he/she will receive. However, I want to allow the patient to be able to ask for a Zoom appointment if he/she feels the need for it (this request should always be approved or declined by the doctor/assistant, though).
Thus, the questions are:
1. is there a way with Bookly to allow the patients (customers) to book an appointment with some sort of option (like a tick) to request that the appointment should be hold as a Zoom consultation, so that the doctor/assistant receive the request, but can approve/decline the Zoom consultation request (in other words: say "ok" to the online consultation, or automatically approve it as a standard in-person consultation, or of course decline it and cancel the appointment)? I want that the confirmation email sent by the system upon approval of the appointment (thus, when the status changes from Pending to Confirmed) automatically contains the Zoom link generated for the session, only if the doctor/assistant approves it as a Zoom consultation (otherwise, the system should send the notification email that the appointment is confiermed without the Zoom link inside). The doctor/assistant should not have to generate/add the Zoom link manually and add it to the confirmation email.
2. similar as before, but with a slightly different point of view: a patient books a standard in-person appointment. I want an option in the back-end so that the doctor/assistant can tick it and "switch" the consultation from "in-person" to "Zoom/online" - and upon approval of the appointment (thus when it changes from Pending to Confiermed) the patient will receive an email with the text containing (or not) an aoutomatically generated Zoom link, based on the doctor's/assistant's decision regarding the consultation method.
As a workaround, I have thought about adding two different doctor's account for every single doctor, one account for standard consultation and another one for the Zoom consultations. However, since the working hours, thus the available slot, would be always the same in both calendars, in this way there would still be availability in one of the two calendars referred to the same doctor even if he/she is already busy in a consultation. For example, if a doctor is busy with an in-person consultation with Patient A from 9.00 to 9.30, this slow should be unavailable both for other in-person consultation but also for any Zoom consultation. Having two different accounts for the same doctor would let the time slot available on the other still-unbooked calendar - which is of course something I don't want to happen. Nor I want to have the doctor/assistant to manaully check both calendars before approving every single appointment, which makes no sense. So I was wondering if there's any other option to get what I need.
