Events Add-on

Important

All add-ons for Bookly require Bookly PRO installed and activated.

Events (Add-on) for Bookly allows you to create and manage events with multiple ticket types. Customers can purchase tickets through the events form, and you can track attendees directly in the admin panel.

Setup

1. Purchase, download, install and activate Bookly Events (Add-on) in Plugins.

2. Navigate to the Events section and click + New event.

Event setup fields:

  • Image: displayed on the event card in the Events form.
  • Title: the name of your event.
  • Organizers: staff responsible for the event. This field is optional.
  • Support staff: staff assigned to assist during the event. Their availability is blocked in the calendar for the event duration.
  • Date: the event start date and time, end date and time.
  • Ticket sales end at: ticket sales end at the specified date and time. Once reached, all tickets for the event are marked as “Sold out”.
  • Color: used as the event color in the Bookly backend calendar.
  • Tags: allow you to easily identify and distinguish events in the list.
  • Info: event description shown on the event card. Can be included in notifications with the {event_info} code.
  • Status:
    Published – the event is visible to customers.
    Hidden – use for drafts or unpublished events under review.
  • Notification about new event: sent to recipients if the 'Notification about new event' type is enabled in the Email or SMS notification settings.
  • Ticket mask: a format template used to generate tickets.
  • Create online meetings: if enabled, online meetings will be created for new event bookings using the selected online meeting tool.

3. Click on the Tickets button to create your type(s) of ticket(s) for the event.

  • Click + Add ticket.
  • Enter the ticket Title (e.g., front row, balcony).
  • Set the Quantity available.
  • (Optional) Set the Reserved amount (e.g., for staff or special guests). Reserved tickets are not available for sale through the front-end booking form, but you can assign them manually to special guests from the backend.
  • Enter the ticket price.

Navigate to Appearance > Events form > Add new form.

In this section you can adjust the design, titles, texts, color and other options – just like when configuring modern booking forms.

Switch between tabs, click on the editable area and update the template on the right according to your needs. Once you’re done, click Save, and then Back button. A unique shortcode for the booking form (e.g., [bookly-events-form my-events-form]) will appear on its card. Click the menu button to copy, clone, or delete it.

Go to the Pages or Posts and insert this shortcode into the page where you want to display your Events form.

Email and SMS notifications for events

There are several notification types you can configure and enable for your events:

  • Notification about new event – sent when a new event is created.
  • Notification about new ticket – sent when a customer purchases a ticket.
  • Notification about ticket deletion – sent when a ticket is deleted.

Notifications for Bookly events

Customize notifications using the following placeholders.

{#each attendees as attendee}{/each} Attendees loop. The details of each attendee will be displayed on a separate line.

You can also choose and enable one of the pre-defined templates:

  • Notification to staff member about new event
  • Notification to customer about pending payment for reserved event ticket(s)
  • Notification to customer about new event ticket(s)
  • Notification to organizer about new event ticket(s)
  • Notification to customer about deleted ticket(s)
  • Notification to organizer about deleted ticket(s)

Attendee management and ticket details

You can view and manage the list of attendees and their tickets in the Events section by clicking the Attendees button next to the event.

Use filters to search by order number or ticket type.

Click the checkmark icon to view payment details. If the ticket payment is pending (e.g., not completed via the Events form due to using a local payment option), you can confirm it manually in the payment details window by clicking the Complete payment button.

If a ticket payment is pending, the customer will still receive a notification about the confirmed order. However, the order will not include a valid ticket number until the corresponding payment is processed as completed.

You can monitor ticket availability on the progress bar which shows total, sold, reserved and on hold tickets for each type.

How events appear in Bookly calendar

Events appear in the Bookly calendar just like regular bookings and are shown for both the assigned staff member and the organizer.
