Can i set up a booking process for guided tours?
Hey,
I am currently evaluating the Bookly plugin for a client who specializes in cheese production and offers guided tours with tastings. I have a specific set of requirements, and I would appreciate your assistance in confirming whether Bookly can meet these needs. Here are the key functionalities I am looking for:
-
Booking Options:
- Users should be able to choose from three main options:
a. Guided tour with cheese tasting
b. Guided tour with cheese tasting and beer
c. Guided tour with cheese tasting and wine
- Cheese tasting is mandatory for all options.
- After selecting the main option, users should have an additional choice for butter tasting, applicable to all previously selected options.
- Users should be able to choose from three main options:
-
Booking Details:
- Users should provide their information and make online payments after selecting their preferences.
- The tours are scheduled every Wednesday and Thursday at 3:00 PM and on Friday and Saturday at 9:00 AM and 3:00 PM.
- Each tour should accommodate up to 16 participants.
-
Additional Cost for Butter Tasting:
- There should be an option to charge an extra fee for butter tasting if selected.
-
Recurring Events:
- Tours should be set up as recurring events happening every week and users should not need to create new bookings manually each week.
-
Automatic Invoice Generation:
- We are located in Austria (EU) and may require automatic invoice generation for each booking. I am familiar with the WooCommerce integration for automatic invoices in Amelia. Could you please provide information on how Bookly handles automatic invoice generation, especially for businesses in the EU?
-
Customizable Texts:
- It is essential for us to be able to customize all text content within the plugin. For example, we would like to replace terms like "Service" with "Guided Tours." Does Bookly offer the ability to easily customize all textual elements?
I would be grateful if you could confirm whether Bookly supports these features and if there are any specific add-ons or configurations needed, please let me know.
Thank you for your time and assistance.
Best regards,
Tobias Legenstein

Hello Tobias,
1. In Bookly, it is possible to create 3 services (a, b, c) and then offer clients additional choice with the Bookly Service Extras (Add-on).
2. Online payments are possible, all supported methods are listed here: https://support.booking-wp-plugin.com/hc/en-us/articles/212413769-Payment-Options
Tour schedule can be controlled by staff working days and hours, staff can be hidden in the booking form then.
Group booking is possible with the Bookly Group Bookings (Add-on).
3. If you use Service Extras (Add-on) to meet this requirement, you'll be able to configure a price for your extras.
4. This is possible with the Bookly Recurring Appointments (Add-on).
5. This is possible with the Bookly Invoices (Add-on).
6. Yes, the Appearance of the booking form is fully customizable.
Hope this helps. Let us know if you have other questions.
Thank you very much for the fast and very detailed response!
Just one question. Is it possible to integrate other invoice software (easybill,....) ? As i mentioned i am from austria and every invoice must have a certain number. All numbers must follow an order.
For Example: Invoice 1, Invoice 2, Invoice 3 (It is not allowed to jump to number 5 without 4 but i think that is understandable)
My client sells lots of other stuff and if i use your invoice solution the numbers are used twice, because both systems do not know what happens in the other.
So if my client sells a cheese in his store with the invoice number 1 (For example) that number is already taken and can not be used twice. So if somebody buys his guided tour your invoice system will also take the number 1, because it does not know that the other invoice exists.
Maybe you have already a solution for that.
Kind regards,

+ How does the group booking work in detail?
The max Persons are 16. (Example)
If somebody books for 3 Persons. Is it still possible to book the appointment? It may sound like a stupid question but I had the problem with other booking plugins. A customer could book several people but the plugin did not allow another different person to book the same appointment/event even though there would have been place for other persons. Even if the max is set to 16 persons the booking system did not allow a second person to book that one appointment or the same time on this appointment.
To sum up:
Other plugins allowed my customers to book for more than one person (group booking) but they did not allow another person to book the same appointment/appointment time. Somehow the plugin set the appointment/events to "booked" even though there is lots of space for other people.
I need a plugin that allows me to book as long as it is not full or the event/guided tour is starting.
Sorry for all those questions, but as you mentioned I need 5 add ons and this gets quite expensive. So I have to make sure that everything works as I need it.
Best regards,
Tobias Legenstein
Hello Tobias,
Currently, other invoice software may be only possible using the Zapier integration. Zapier allows you to set up workflows with your favourite tools. Please read more here: https://support.booking-wp-plugin.com/hc/en-us/articles/360016190920-Zapier-Integration
Bookly Invoices (Add-on) generates all invoices based on payment details. So if the payment details include extras, they will be displayed in the same invoice details.
Regarding the group booking, Bookly takes into account the service and staff capacity. The time slot will be available for booking until this capacity is reached. We have a separate feature called ‘One booking per time slot’ which allows to restrict the possibility of booking within the service capacity to only one time. Please read more here: https://support.booking-wp-plugin.com/hc/en-us/articles/360000259594-Group-Booking-Add-on
