In the Font field, choose the font of your invoice template.
In the Invoice file name prefix, set a prefix for the file name that will be used for your documents. For example, if the file name prefix is “myfile_”, your PDF file will be downloaded with the “myfile_1.pdf” name.
To display manual adjustments in the invoice, enable the Show manual adjustments option.
Click Preview to see the result.
Click Save to save the changes.
Invoice generation
All invoices are generated automatically based on the appointment and payment details when your clients book via the front-end booking form. Invoices are attached to the selected notifications as PDF documents.
You can choose when to send a payment request to the customer:
- the moment a new booking is made (type – new booking notification);
- when the status of the booking has been changed (for example, 'pending' to 'approved');
- after the appointment in a follow-up message to the customer (type – appointment reminder).
To do this, go to the Email Notifications section and tick the box Attach invoice in the relevant notification template(s).
You can also include an invoice link in your SMS notifications. Go to the SMS Notifications section and insert {invoice_link} code into your text message template(s).
When you schedule an appointment via the admin panel, make sure to attach the payment and choose to send notifications so the invoice is attached to the confirmation email.
View and download invoices in Payment reports
You can view invoices history in the Payments section. When you click on the Invoice button on the right, the selected Invoice will be downloaded as a PDF document and can be manually resent to the customer if necessary.
Click the Download Invoices button to download a zip file containing all invoices.
You can add a Download invoice button to the last step of your booking form. Go to Appearance > Done tab and select Show 'Download invoice' button. Save the changes.
