Does your software have a built in advanced form builder that enables conditional logic or is compatible with gravity forms and the Xero accounts package
I am a basketball coaching business that requires a very detailed and advanced type of registration form for players to complete in order to enrol in our programs.
We offer
- weekly skills-based coaching for a 10 week semester
- Private Lessons where they would be able to select from a variety of coaches
- Holiday Camps
- (if they purchase more than 1 lesson or more than 1 day at a time they get discounts off the full price and sibling enrolments get a 10% discount off their entire purchase)
- Gift Vouchers
I am wanting to add a booking system to my WordPress website that can handle the:
- calendars for booking the weekly skills training and the private lessons.
- multiple calendar allotments for each of the coaches that I employ. Where the coaches have access to their own calendars and are able to allocate their free time and block out times they are unavailable?
- advanced nature I require from a form builder for my registration forms.
- How advanced is the one that already exists within Bookly?
- Does Bookly integrate with Gravity Forms?
- a form-builder that can capture sub-total values as they proceed through the various items one can purchase within the registration form
- a form builder that offers conditional logic of "if not this, then that" type of logic. e.g. do you suffer from any medical conditions? If not, they would automatically proceed to the next question. If they do suffer from any ailments, another question would pop up because they answered "yes" to the question. At which point something like "what medical conditions do you suffer from? Do you take any medication for these conditions? If not, then they would proceed to the next section. If yes, what are the names of your medications and what dosages do you take?
- a summary at the end of the demographic detail capture for users to double-check the accuracy of their answers and have the ability to go back and edit if required.
- a summary of the purchases made at checkout
- a receipt of purchase being sent to the user that states what they have purchased that now has a zero balance
- integration or plugin of the accounts package Xero

Please note that Bookly is designed to work with a weekly schedule. After you set up the staff member's schedule, this schedule will be repeated for the following weeks. Please note that the system takes into account the staff member's schedule when rendering available time slots in the front-end/booking.
So the availability offered in the booking form is based on the schedule of the staff member. Whereas, the interval of the slots offered is regulated with the time slot length as this is the basis of how the hours are divided and presented in the booking form.
The add-ons https://www.booking-wp-plugin.com/features/ are intended to help give more flexibility to achieve desired features.
Please check if the Bookly Packages Add-on: https://support.booking-wp-plugin.com/hc/en-us/articles/115003045634-Packages-Add-on will work with this requirement.
It allows you to offer package deals for your client’s favorite services as well as add an optional discount on packages.
So you will need to create a simple service for the price of the packages then your client will have to book their first appointment right away in the front-end booking form.
And then you assign the packages in the back-end so your customers can book the rest of the package services later as long as they’re booked within the set validity period.
Please note that the rest of the package services can only be set up in the back-end for now and customers cannot book these from the front-end yet.
So the workaround is to give the customers’ user account so when they’re logged in, they can see a list of purchased packages with expiration dates, details, and the ability to schedule the rest of the package services. Kindly note that the packages don't work and are compatible with the following add-ons respectively yet.
This could be added as another service in Bookly.

It allows your providers/staff members/employees to manage their bookings, own calendar, view and update details, manage services (create appointments), prices, schedule, days off, and special days (if installed), as well as export their calendar information into a CSV file without access to the WordPress admin panel.
However, please note that the creation of services is, at this time, possible in the back-end through admin only. And currently, it is impossible to forbid the staff to edit their appointments.
Bookly is compatible with the vast majority of WordPress themes/plugins and, as long as the theme is developed according to the WordPress Codex https://codex.wordpress.org/Theme_Development, it is most likely compatible with yours.
While it isn't technically possible for us to test all themes/plugins out there, incompatibility issues have been rather rare in our experience.
In order to make sure that your themes/plugins work with Bookly, your best bet is to try installing the free version of the Bookly plugin https://wordpress.org/plugins/bookly-responsive-appointment-booking-tool/. If the free version works with the theme, then the Bookly PRO version should work as well.

It allows your clients to book several appointments for different services for multiple visits (different dates/times) by placing them in a cart. So the "Book More" button is added in the summary step of the booking process and that will take the user back to the first step while retaining the current booking in the cart.
Kindly note that at the moment, Cart cannot be enabled together with the WooCommerce online payment integration.

It allows you to create the different types of questions that the clients would need to fill out before the booking confirmation and all these reservation details will be added to your Bookly Calendar and can also be added to the email notifications for both your staff members and customers.
Please note that you can set a condition for displaying a specific custom field only when a certain value is selected (or isn't selected) in another custom field. Currently, you can add a condition only to Checkbox Group, Radio Button Group, or Dropdown types of custom fields in the If statement.
So it can be added to the email notifications for both your staff members and customers by adding the {custom_fields} code to the email body. Note that the {custom_fields} code is only available for single notifications.
Although users can click the ‘Back’ button to go back to the Details step and review their answers, a summary of the details captured isn’t implemented yet. Perhaps a note in the Payments step can be added to ask the users to review their answers before completing the booking?

It allows you to generate detailed invoices for booked services and send them automatically when appointments are booked, approved, or received which you send to your clients by email, or include links in your SMS notifications. All sent invoices are available for viewing, filtering, and downloading in PDF format in Bookly Payments reports.
This is how the Invoices Add-on works.
1. A customer books an appointment via the frontend booking form and pays it online on the ‘payment’ step of the booking form.
2. Afterwards, the customer receives the email confirmation with the invoice attached.
You can’t send an invoice to a customer first. The invoice will be sent to a customer only after a successful booking.
If you create an appointment via the backend, the customer can’t pay online (i.e.: PayPal, Stripe, etc).
I’m afraid Xero isn’t supported yet. However, please check if Bookly's Zapier Integration: https://support.booking-wp-plugin.com/hc/en-us/articles/360016190920-Zapier-Integration can work for this requirement as it allows you to automatically trigger actions in your favorite cloud apps for certain events inside of Bookly: when new bookings are made and updated, and new customers are created.
